Your team and their roles

Invite colleagues to the Staff Console, choose between Librarian and Administrator, and sort out a staff member who can't sign in.

Adding a colleague is not the same as adding a borrower. Members belong on the Members tab; colleagues who need the Staff Console are invited from Settings, in the Team card.

Invite a colleague

The Team card lists everyone on your staff, then gives you a short form underneath it:

  1. Type their Name.
  2. Type their email.
  3. Choose their role: Librarian or Administrator.
  4. Press Send invite.

BeeShelf emails them a link to set their own password. You never type a password for them. The link is good for 48 hours, and the invite link also appears on screen straight after you send it, with a Copy button, so you can pass it on another way if the email is slow.

Until they set their password they show in the list with an Invite pending badge and a Resend button, which sends a fresh 48-hour link. Remove takes someone off the team.

The two roles

  • Librarian runs the day-to-day desk: the catalogue, circulation, stocktake, requests, members, and reports.
  • Administrator does all of that, and also gets the Settings and Activity tabs, can change a member’s status, and can manage this team.

This is why a colleague may not see the Settings tab. Those two tabs only appear for administrators, and the server enforces it as well as the menu. To promote someone, change the dropdown beside their name in the Team card. Your library always keeps at least one administrator, so BeeShelf won’t let you demote or remove the last one, and you can’t change your own role.

Every staff member is also a borrower

When you invite a colleague, BeeShelf quietly gives them a borrower identity too, so they can take books out like anyone else. The Reader view button in the Staff Console header opens the reader app as themselves, and the Staff console link in the reader app header brings them back.

If they want to sign in to the reader app directly, they set a reader password using Forgot password? on the sign-in screen. It’s a separate password from their staff one, on purpose.

If a colleague can’t sign in

Check the Team card first. An Invite pending badge means they never set a password: press Resend. If they’re set up but stuck, they should use Forgot password? on the sign-in screen, which emails them a link to set a new one. See Signing in.
