Terms of Service
Effective 4 July 2026
These Terms govern your use of BeeShelf, a cloud library system operated by iBX Design Consultancy (“BeeShelf”, “we”), Dubai Silicon Oasis, United Arab Emirates. By creating an account or using the service, you agree to these Terms. Please read §§ 11–14 (disclaimers, liability, indemnification, and force majeure) carefully — they limit our liability to you.
1. The service
BeeShelf provides library cataloguing, circulation, discovery, and related tools as a hosted, multi-tenant service. We may improve, change, add, or remove features over time (see §6).
2. Accounts
- You must provide accurate information and keep your credentials secure.
- You’re responsible for activity under your account and for your staff’s and members’ use, within your library.
- You must have the authority to represent the institution you set up a library for.
3. Acceptable use
Don’t use BeeShelf to break the law, infringe others’ rights, upload malware, attempt to breach security or tenant isolation, or disrupt the service. Don’t attempt to access data belonging to another institution.
4. Your data & backups
Your data is yours. You retain all rights to the data you put into BeeShelf. You grant us the limited rights needed to host and provide the service. Our handling of personal data is governed by the Privacy Policy and, for institutions, the Data Processing Addendum.
Keeping your own copies is your responsibility. You can export your full data set at any time, and we recommend you export regularly. Although we take reasonable measures to protect data and keep our own backups, we do not warrant that data will never be lost, corrupted, deleted, or become unavailable. To the maximum extent permitted by law, we are not liable for any loss of or damage to data. Maintaining current exports is your safeguard.
5. Plans, fees & billing
- Paid plans are billed on a recurring (monthly) basis through Stripe, under iBX. Card details are handled by Stripe and never stored by us.
- A free plan is available with usage limits; paid plans raise those limits. Current plans and limits are shown on our pricing page.
- Subscriptions renew automatically until cancelled. You can cancel any time through the billing portal; cancellation takes effect at the end of the current billing period, and you keep access until then. Fees already paid are non-refundable except where required by law.
- We may change plans, features, limits, or pricing with reasonable notice; changes don’t affect the current paid term. If you don’t agree to a price change, you may cancel before it takes effect — continuing to use a paid plan after a change takes effect means you accept it.
6. Availability, changes & discontinuation
We work to keep BeeShelf available and reliable, but the service is provided on an “as available” basis and we don’t guarantee that it will be uninterrupted, timely, secure, or error-free. Maintenance, updates, or factors outside our control may cause downtime. Any specific uptime commitment applies only if expressly stated in a separate agreement for your plan.
We may change or discontinue the service. We may add, change, limit, suspend, remove, or discontinue any feature — or change how the service works — at any time. Where a change materially reduces the core functionality of a paid plan, we’ll give reasonable notice where practicable. We may also discontinue the service as a whole, or any plan, at any time; if we discontinue the service, we’ll give you reasonable notice and a reasonable period to export your data, after which the service and any remaining data may be shut down and deleted. To the maximum extent permitted by law, we are not liable for any modification, limitation, suspension, unavailability, or discontinuation of the service or any feature.
7. Free and beta features
Free-plan, trial, beta, and preview features are provided “as is”, may carry limits, and may be changed, limited, or withdrawn at any time without notice or liability.
8. Third-party services
BeeShelf integrates third-party services (see Sub-processors). Their own terms may apply to their portions of the service, and we’re not responsible for their acts or omissions.
9. Intellectual property
BeeShelf, its software, and its brand are owned by iBX and its licensors. These Terms don’t transfer any ownership in the platform to you.
10. Suspension & termination
You can stop using and close your account at any time. We may suspend or terminate your access — immediately where warranted — for non-payment, breach of these Terms or the law, a security risk, or where required by a provider or authority. On termination you can export your data during a reasonable window, after which we’ll delete or return it as described in the Privacy Policy and DPA.
11. Disclaimers & warranties
To the maximum extent permitted by law, the service, all of its features, and all data are provided “as is” and “as available”, without warranties of any kind, whether express or implied — including implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement, and any warranty that the service will be uninterrupted, timely, secure, or error-free, or that data will be accurate, complete, preserved, or recoverable.
12. Limitation of liability
To the maximum extent permitted by law, BeeShelf, iBX, and our suppliers will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of or damage to data, loss of profits, revenue, goodwill, or anticipated savings, or business interruption, arising out of or relating to the service or these Terms — even if we have been advised of the possibility.
To the maximum extent permitted by law, our total aggregate liability arising out of or relating to the service or these Terms will not exceed the greater of (a) the fees you paid for the service in the twelve months before the event giving rise to the claim, or (b) USD 100. Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law.
13. Indemnification
To the extent permitted by law, you will indemnify and hold harmless BeeShelf and iBX from third-party claims, damages, losses, and costs (including reasonable legal fees) arising out of your use of the service, the data or content you put into it, or your breach of these Terms or applicable law.
14. Force majeure
We are not liable for any failure or delay caused by events beyond our reasonable control, including failures or outages of hosting, network, or other infrastructure providers, internet or power outages, cyber-attacks, natural events, pandemics, strikes, or acts of government.
15. Changes to these Terms
We may update these Terms and will revise the date above; material changes will be communicated through the service. Continuing to use BeeShelf after a change takes effect means you accept the updated Terms.
